Job description

As an Internal Operations Specialist at Vuala, you will play a crucial role in ensuring smooth and efficient internal processes to exceed customer expectations. You will be responsible for identifying issues, stoppers and inefficiencies in invoice operations, monitoring customer satisfaction through automated information flows, and optimizing internal information flows to enhance overall performance.

Responsibilities

  • Oversee internal operations to ensure smooth and efficient information flows, from invoice extraction to customer satisfaction.
  • Identify and troubleshoot errors in invoice operations, including missing or inaccurate data, and implement solutions to improve accuracy and efficiency.
  • Develop and implement processes and workflows to streamline internal operations and reduce manual effort.
  • Monitor key performance indicators (KPIs) to track the efficiency and accuracy of invoice operations, and identify areas for improvement.
  • Collaborate with cross-functional teams, including product, engineering, and customer support, to address operational issues and enhance customer experience.
  • Implement systems and tools for gathering customer feedback and measuring satisfaction levels, and use insights to drive continuous improvement.
  • Proactively identify opportunities to enhance internal processes and systems, and drive initiatives to optimize operational efficiency.
  • Stay updated on industry trends and best practices in internal operations and customer experience management.

Requirements

  • Proven experience in operations management or a similar role, preferably in a technology startup environment.
  • Strong analytical skills with the ability to identify trends, spot errors, and drive data-driven decision-making.
  • Excellent communication and collaboration skills, with the ability to work effectively with cross-functional teams.
  • Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities effectively.
  • Experience with process improvement methodologies such as Lean or Six Sigma is a plus.
  • Familiarity with customer feedback systems and satisfaction measurement techniques.
  • Proficiency in project management tools and software.
